VI. Payment Terms
- Consultation Fee: A non-refundable consultation fee of $150 USD/ 1,050 TTD is required to initiate the booking process. For more complex or customized travel arrangements, a consultation fee of $250 USD/ $1,750 TTD may apply.
- Booking Confirmation: Upon acceptance of the travel proposal, a 25% retainer fee is due to confirm your booking.
- Payment Plans: Flexible payment plans are available to accommodate your budget. Choose to pay monthly installments using your credit card. Full payment is due two weeks prior to your departure date.
- Credit Card Fees: A 3% credit card processing fee may be assessed to transactions made using a credit card. This fee is incurred by the bank.
VII. Cancellation and Refunds
If a customer desires to cancel their booking with us, refunds will be issued as follows:
- Cancellations made prior to 40 days of the departure date: 75% of the payment (minus the non-refundable deposits) will be refunded.
- Cancellations made less than 40 days prior to the departure date: 50% of the payment (minus the non-refundable deposits) will be refunded.
Cancellation Due to Non-Payment
Buzz Experiences reserves the right to cancel the trip if the customer misses monthly payment deadlines or does not pay in full by the specified deadline. In such cases, the customer will forfeit all payments made, including the non-refundable deposits.
Refunds, if applicable, will be processed within 7-14 business days of receiving the written cancellation request. This processing time allows for a thorough review of the matter to ensure that refunds are issued fairly and accurately.
VIII. Quotation Validity Period
All quotes provided by Buzz Experiences are valid for a period of 7 to 14 days from the date of issuance. The exact validity period will be clearly specified in the travel proposal. This validity period is subject to change based on factors such as:
- Destination: Quotes for popular destinations may have shorter validity periods due to higher demand.
- Season: Quotes for peak season travel may expire more quickly compared to low or shoulder seasons.
- Travel Arrangements: Complex itineraries involving multiple bookings may have shorter validity periods.
During the quote validity period, Buzz Experiences will not modify any component of the quotation unless requested by the client. If the client does not book within the specified validity period, a new quote will be required at an additional cost to reflect the current market rates, which may be higher than the original quote.
IX. Travel Documentation
All travelers must have a valid passport with at least 6 months validity from the date of return from the trip. Travelers are responsible for obtaining any necessary visas and travel insurance for themselves in advance of travel. The agency is not required to nor will they assist with the application and obtaining of visas for customers. The travel agency will provide a list of required documentation when the client books the trip and pays the non-refundable deposit.
X. Health and Safety
Travelers will receive safety tips and advisories for their destinations. Travelers are responsible for ensuring they are aware of and adhere to any health and safety advice and guidelines provided by the travel agency. They are responsible for ensuring that they are medically fit to travel and have obtained any necessary vaccinations. While not required, we encourage you to consider travel insurance for added peace of mind. We can provide information on a recommended provider, and there will be an additional charge for the insurance.
XI. Travel Itinerary and Changes
The company will make reasonable efforts to provide the services as described in the itinerary, but cannot guarantee that they will be provided exactly as described. The itinerary is subject to change in the event that circumstances change beyond the control of the company.
Itinerary Changes
Travelers may make one change to their itinerary without additional fees incurred. Subsequent changes will incur an additional fee, as follows:
- Re-quoting (flights, hotels, excursion rates): $50 USD
- Additional itinerary alterations:
- Less than 30% of the itinerary: $100 USD
- 30-60% of the itinerary: $150 USD
- 60% or more of the itinerary: $250 USD
The travel agency reserves the right to make changes to the itinerary for any reason, including for health and safety reasons.
Please note that changes may not always be possible due to time constraints, supplier policies, limited availability, cost increases and more factors beyond the control of Buzz Experiences. In the event that you desire to change components of your itinerary, please contact us promptly.
XII. Baggage
The traveler must ensure that they meet the baggage requirements of the airlines they are traveling with. Baggage regulations include but are not limited to size, structure and weight. If the traveler does not adhere to the regulations, the baggage may be transferred at an extra cost to them.
XIII. Accommodation
Travelers may request changes to their accommodation arrangements, subject to availability and potential fees. The company strives to provide high-quality accommodations, but local standards may vary. In the event that the accommodation becomes unavailable, the company reserves the right to provide alternative accommodation of a similar standard. Travelers will be notified of the change of itinerary and be issued an amended itinerary under these circumstances.
XIV. Liability
The company is not responsible for any loss, damage, or injury incurred during the travel arrangements, unless caused by the negligence of the company. Travelers are responsible for taking care of their personal belongings and property during the travel arrangements. In the event that a traveler loses or damages their passport during travel compromising its validity, the company will lend assistance to the traveler to obtain the necessary documents to return home as is suited to their capabilities.
XV. Force Majeure
The company shall not be liable for any delay, cancellation, or modification of the travel arrangements due to circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, political unrest, strikes, or pandemics.
XVI. Customer Complaints
Any complaints or disputes arising from the travel arrangements must be submitted to the company in writing via email for transparency and accountability for both parties. The company would investigate all complaints thoroughly and resolve them in a transparent and just manner.
XVII. Data Protection
It may be necessary for the company to solicit personal information from the traveler such as medical conditions/disabilities, dietary requirements or religious information etc. This information will remain confidential to the company. The information will only be shared to suppliers if necessary to improve the travel experience and to fulfill the company’s contract to you.
XVIII. Changes to Terms
We may update these Terms and Conditions from time to time. Any changes will be effective upon posting on our website.
